EIPP Helps Client Pivot During the Pandemic

Harris Health System wanted to help people in their community affected by the coronavirus. The problem was, the healthcare organization had no way to accept online donations.

 

In addition to that, with so many of their employees working from home due to the pandemic, they needed a way for remote employees to make medical benefit payments electronically—something they had never offered before.

 

“Both were very quick requests,” says Kari McMichael, Vice President at Harris Health System. “We needed a bank that was nimble enough to meet these needs.”

 

Cadence Bank had the perfect product to help Harris Health.

 

The Solution: Electronic Invoice Presentment and Payment (EIPP)

 

Electronic Invoice Presentment and Payment services enable businesses to collect donations and distribute invoices electronically. For Harris Health, we set up a payment portal for members of the community to make COVID-19 donations, as well as another EIPP site for remote employees to make their health insurance payments online.

 

Let’s dive into these two stories more below.

 

Need #1: Collect donations to serve the uninsured/underinsured in the community

 

Harris Health System serves residents of Harris County, Texas. With nearly 4.7 million residents, Harris County is the largest county in Texas, according to 2019 data from the U.S. Census Bureau. It’s also the third-largest county in the country, behind Los Angeles County and Cook County, the Census Bureau reports.

 

When coronavirus hit, Harris Health had an increased need for donations to serve their patients, many of whom aren’t able to pay their medical bills.

 

“Because we serve one of the largest county areas in the United States, we're one of the largest safety net hospitals in the country,” McMichael explains. “As a safety net hospital, we serve the uninsured and the underinsured.”

 

In addition, many members of the community and local businesses wanted to help.

 

“We had a huge outpouring from the community,” McMichael says. “We wanted to offer an easy way for folks to give us their support in a timely manner.”

 

The solution: EIPP

 

Creating an EIPP site to accept donations was the answer.

 

McMichael spoke with Kacy Owsley, Cadence Bank EVP, Treasury Management, to learn how EIPP could help Harris Health pivot during the coronavirus pandemic.

“Kacy responded right away and brought on Tony Brinson, Cadence Bank EIPP Product Manager, who’s fantastic,” McMichael says. “He worked with our development office and on the website, which was up incredibly fast.”

 

“After the initial conversation, our next steps were to gather information about Harris Health’s project goals, develop custom branding and messaging for the website, and set up payment through ACH or credit card,” Owsley says. “We used this information to develop the quick-pay EIPP donation site.”

 

The results: Up and running in less than 2 weeks

 

It took less than two weeks to set up the EIPP donation site for Harris Health.

Owsley mentions that EIPP enabled the donation site to be set up quicker than designing a website from scratch. “Timeliness was critical to this project,” Owsley says. “The faster the site was set up, the sooner patients and caregivers could benefit from the community’s generosity.”

Need #2: Enable remote employees to make their health insurance payments online

 

The need for the second EIPP site came from the coronavirus creating work-from-home scenarios; Harris Health needed to offer flexible medical benefit payment options for its remote employees. Previously, employees had to mail or drop off payments at a Harris Health facility. With limited staff on-site and increasing safety concerns, this was no longer an option.

 

“The second HR reached out to me and said, ‘Do you think our new banking partner can help us?’ I replied, ‘I have no doubt, but let me see what they've got,’” McMichael says. “I called Kacy, and she responded right away.”

 

The solution: EIPP works for all kinds of payments

 

The Cadence Bank team created an EIPP site for Harris Health to accept medical benefit payments from their employees electronically. The online payment solution lives on their intranet, so employees can easily access it and make payments.

McMichael explains how this electronic invoice presentment and payment site aligned with Harris Health’s greater finance goals of automation, improved business processes and better customer service.

 

“Our previous banking partner did not support the initiatives of our finance department,” McMichael says. “This was right in line with our mission within our finance and accounting department. It's been an excellent relationship with Cadence Bank, and I could give you a thousand other examples just like this.”

  

The results: A safer and more convenient way to make payments

 

The results of the medical benefit payment site were two-fold. First, remote employees were able to make payments safely during COVID-19.

 

“We're all telecommuting now,” McMichael says. “Limiting the number of people at a physical facility who are needed there to receive payments makes all our employees safer.”

 

Secondly, Harris Health extended a new, more convenient payment option to their employees—while automating their financial processes.

 

“They opened up another payment means for their employees through this process,” Owsley explains. “Credit cards were a new payment function for them. Before, it was check-only. Harris Health wanted to be mindful of someone's financial scenario and give them that credit card option to continue paying for their benefits.”

“I know that I'm going to get a very quick response,” McMichael says. “I can count on that with Kacy, and also that the work is going to be done right.
